THE GAP

Managing is a skill.
It just wasn't part of your training.

When a patient's progress stalls, you know exactly what to do. You ask better questions. You adjust the plan. You track what changes. That diagnostic instinct is second nature.

Now you're managing a clinic. The same cycle applies — observe, separate, interpret, act — but nobody taught you the metrics, the signals, or what to do when the numbers look wrong. So you either ignore the data, or you react to the wrong thing at the wrong time.

Most physical therapists who step into leadership roles don't have a gap in commitment or capability. They have a gap in tools and training. This course closes that gap.

This course is designed to change your trajectory

THE SOLUTION
Cycle of PT clinic business health

A weekly system that tells you what's actually happening in your clinic — and what to do about it.

Well-run PT clinics need to track just a handful of metrics to stay on top of business health. This course teaches you which ones matter, how to read them, and how to turn what you see into one focused action each week.

The system follows four steps you already understand:

Observe
What changed this week?

Interpret
What's the most likely cause?

You don't need to become a finance expert. You need a repeatable leadership rhythm. This course builds it.

Separate
Is it demand, capacity, cancellations, or execution?

Act
What's the one thing we'll do before
next week?

HOW IT WORKS

Real impact on your practice. Four things change when you run your clinic with a weekly system.

  • Read utilization, labor, capacity, and margin data with confidence. Know within 15 minutes of your weekly update whether the issue is demand, capacity, cancellations, or execution — and understand what each one requires.

  • Stop waiting for monthly financials to tell you something went wrong. The weekly tracker surfaces trends in real time, so you're making decisions on what's happening now, not what happened four weeks ago.

  • Use individual therapist data to spot workload imbalance and burnout risk early. Coach in a way that builds trust instead of pressure. Know who needs support, who needs recognition, and who needs relief — before they tell you with their resignation.

  • See your estimated weekly margin, labor percentage, and overhead allocation before payments settle. Understand whether a labor spike is a one-week anomaly or a pattern that needs action. Make staffing and scheduling decisions with actual data behind them.

“I became a PT because I love helping people move and feel better, but PT school doesn’t teach you how to run a business. When I took over as clinic director, I honestly had no idea what I was supposed to be looking at each week. I'd get a report and just hope nothing looked too wrong.

This system changed that. It's not overwhelming, it doesn't assume you have a finance background, and it doesn't try to turn you into something you're not. I open the tracker on Monday morning, enter a few numbers, and within fifteen minutes I actually know what's happening in my clinic and what I need to do about it.

I feel like I'm managing the business instead of just reacting to it."

WHAT'S INCLUDED

The Course Workbook (PDF)
A guided 5-module course designed for clinical leaders. Each module teaches one management skill and ends with a hands-on activity. Work through it in an afternoon, then apply it every week.

The Weekly Business Health Tracker (Excel)
A six-tab spreadsheet built specifically for PT clinic managers. Set your assumptions once. Update it weekly. The tracker does the math and tells you what needs attention.

The six tabs:

  • Weekly Clinic Tracker — Scheduled visits, completed visits, cancellations, utilization, new patients, expected revenue, estimated margin, and labor percentage. Spots the direction of your business before insurance payments settle.

  • Therapist Utilization — Individual provider trends across clinical hours, completed visits, and workload signal. See who's overloaded, who has capacity, and who may need support before it becomes a problem.

  • Labor Costs — Loaded labor cost, overhead allocation, and labor as a percentage of expected revenue. Understand whether your staffing model matches your patient demand.

  • Therapist Coaching Lab — A structured prep sheet for turning utilization data into a supportive coaching conversation. Not a blame sheet — a leadership tool.

  • Initiative Planner — One signal, one hypothesis, one action, one owner, one metric. Every week.

  • Activity Hub — Five weekly prompts that move you from data entry to decision in under 15 minutes.

Everything you need to start running your clinic like a business — this week.

THE COURSE

Five modules.

One implementation challenge.

Built to use, not just read.

  • Translate your weekly numbers into a plain-language summary you can share with your team in three sentences. Stop hiding behind the data and start explaining what it means.

  • Learn why low utilization isn't always a performance problem — and what question to ask before you take any action. Avoid the most common management mistake: reacting to the wrong thing.

  • Use therapist-level data to coach supportively. Identify who needs help, who needs recognition, and who's quietly heading toward overload — and how to have each conversation.

  • Read labor as a capacity question, not just a cost. See whether your staffing model matches patient demand and whether your team can sustain the workload you're asking of them.

  • Turn one weekly signal into one focused initiative — with a hypothesis, an action, an owner, a metric, and a review date. This is where data becomes management.

  • Build the habit. Each week has one focus, one required activity, and one clear success outcome. By week four, you'll have a repeatable leadership rhythm that runs on its own.

WHO IS THIS FOR?

This course is for physical therapists who have stepped — or been pushed — into a clinical leadership role and need to get up to speed on the business side fast.

It's for you if:

  • You were promoted because you're a strong clinician, not because you had management training

  • You look at weekly reports and aren't sure what to act on — or whether to act at all

  • You want to coach your team better but don't always know what the data is actually telling you

  • You know something is off in the clinic but can't put your finger on what

This is not for you if you already have a CFO, a billing team, or a dedicated operations manager running weekly reports. This is built for the clinical lead who needs to figure out the business side themselves.

ABOUT JASON

I know first-hand what happens when great clinicians get promoted without the tools or training to run a business — and I've seen how quickly that changes when they get both.

I've spent the last decade leading health, fitness, and wellness businesses through the gap between clinical excellence and operational health. Before moving into operations and management, I taught fitness full-time in New York City, was featured in Well + Good and Yahoo Life, and built programming for everything from boutique studios to global connected fitness brands. I've also led a restaurant to a New York Times star, launched my own supper club, and walked a lot of miles along the Charles with my dog Sprout.

I built this course because the training gap is real — and it's fixable.
